Privacy Policy
How Trophy Mall collects, uses, and protects your information.
Last updated: October 2, 2026
Trophy Mall (“Trophy Mall”, “we”, “us”, “our”) operates this online store, including all related content, features, tools, products and services (the “Services”). This Privacy Policy explains what personal information we collect when you visit, use, or buy from the Services, how we use it, who we share it with, and the rights you have over it. It is published in accordance with the Information Technology Act, 2000 and the rules made under it, the Digital Personal Data Protection Act, 2023, and the Consumer Protection Act, 2019.
Please read this Privacy Policy carefully. By using the Services you acknowledge that you have read it and understand how your information is collected, used and disclosed. If there is a conflict between our Terms & Conditions and this Privacy Policy, this Privacy Policy controls on matters of personal information.
When we use the term “personal information” we mean information that identifies, or can reasonably be linked to, you. It does not include information that is anonymous or has been de-identified so that it can no longer be linked to you.
Personal Information We Collect
We collect the following, depending on how you use the Services:
• Contact and delivery details including your name, phone number, email address, billing address and delivery address.
• Order history including the items you view, add to your cart or wishlist, buy, return, exchange or cancel, and the status of each order.
• Returns and support history including the messages, enquiries, complaints and claim photographs you send us.
• Engraving artwork and personalisation content including any names, text, dates, logos, emblems, crests or images you supply for us to engrave or print on a product.
• Account information including your username or registered mobile number, and your saved preferences and addresses.
• Payment confirmation details such as the payment method used, the transaction reference and whether the payment succeeded. We do NOT collect or store your card number, CVV, UPI PIN or net-banking credentials.
• Basic technical data including your IP address, device and browser type, and how you navigate the Services, collected automatically and through cookies and similar technologies.
How We Collect Personal Information
We collect personal information from the following sources:
• Directly from you when you create an account, place an order, send us artwork, contact us, or otherwise provide it.
• Automatically through the Services from your device when you browse, including through cookies.
• From our service providers such as our payment provider and courier partners, when they process information on our behalf or report back on a transaction or a delivery.
How We Use Personal Information
We use personal information for the following purposes, and no others:
• Fulfilling your order. To take payment, produce your order (including any engraving), pack it, arrange delivery, and handle returns, replacements and refunds.
• Keeping you informed. To send order confirmations, artwork proofs for your approval, dispatch and tracking updates, and delivery notifications by email and SMS. These are service messages about an order you have placed, not marketing.
• Answering you. To respond to enquiries, quotes, bulk-order requests, claims and complaints, and to keep a record of what was agreed.
• Marketing, only if you ask for it. We send promotional email ONLY to people who have asked to receive it. Every marketing message carries an unsubscribe link, and unsubscribing takes effect immediately and never affects your order updates.
• Security and fraud prevention. To authenticate your account, secure payments, and detect, investigate and act on fraudulent, unlawful or abusive activity.
• Legal reasons. To comply with the law, to respond to a valid legal request, and to establish, exercise or defend legal claims.
Your Engraving Artwork
Engraving artwork and personalisation content is treated as yours, not ours. We use the names, text, logos and images you send us SOLELY to produce the order they were sent for. We do not sell them, license them, share them with anyone other than the production partner working on your order, or use them in our marketing, on our website, or in any sample or display, without your written permission. We delete artwork on request once your order is complete, and you can make that request at any time using the contact details below. Where we are required to keep a record of the transaction itself, that record does not need to include your artwork.
How We Disclose Personal Information
We disclose personal information only in the following circumstances:
• To our courier and logistics partners, so that your order can be delivered. They receive your name, delivery address and phone number, and nothing more than they need.
• To Razorpay, our payment provider, which processes your payment. Razorpay is a PCI-DSS compliant payment gateway and handles your card, UPI and net-banking details directly; Trophy Mall never sees or stores them. Razorpay processes that information under its own privacy policy.
• To service providers who work on our behalf, such as our hosting, email and SMS providers, under obligations of confidentiality and only for the purposes described in this Policy.
• Where the law requires it, including in response to a valid order, summons or request from a court, law-enforcement or government authority, or to establish or defend legal claims.
• In connection with a business transaction such as a merger, acquisition or insolvency, where your information may transfer as part of the business.
WE DO NOT SELL YOUR PERSONAL DATA, and we do not share it with third parties for their own marketing.
How Long We Keep It
We keep personal information only as long as we need it: for as long as you have an account with us, for as long as necessary to complete and support your orders, and thereafter for as long as the law requires us to retain transaction, tax and invoicing records. Artwork is deleted on request once the order it was supplied for is complete.
Security
No security measure is perfect, and information sent over the internet is never completely secure. We take reasonable technical and organisational measures to protect the personal information we hold, but we cannot guarantee absolute security. Please do not send sensitive information to us over unsecured channels, and never send us a card number, CVV, UPI PIN or password — we will never ask you for any of them.
Children's Data
The Services are not intended for children, and we do not knowingly collect personal information from a child. If you are the parent or guardian of a child who has given us their personal information, contact us using the details below and we will delete it.
Your Rights and Choices
You have the following rights over your personal information. To exercise any of them, contact us using the details below; we will verify who you are and respond within 30 days.
• Right of access. You may ask for a copy of the personal information we hold about you.
• Right to correction. You may ask us to correct information that is inaccurate or out of date.
• Right to deletion. You may ask us to delete your personal information, including any engraving artwork. We will do so except where we are legally required to keep a record — principally invoices and tax records, which we must retain for the statutory period.
• Right to withdraw consent. Where we rely on your consent, you may withdraw it at any time. This does not affect anything done before you withdrew it.
• Marketing preferences. You may opt out of promotional email at any time using the unsubscribe link in any such message. You will still receive service messages about orders you have placed.
We will not treat you differently, or refuse you service, for exercising any of these rights.
Third-Party Websites and Links
The Services may contain links to websites operated by others. We are not responsible for their content, their privacy practices or their security, and we recommend you read the privacy policy of any site you follow a link to.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal or operational reasons. When we do, we post the revised policy on this page and update the “Last updated” date at the top.
